Information we collect
The information we collect depends on how you deal with us. It can include:
- Your name, business name, email address, phone number, postcode, state and relevant location details.
- Your enquiry, machinery interests, business requirements, meeting preferences and details needed to respond to servicing or parts requests.
- Communications and sales or service records, including enquiry progress, quotations, service tickets, job references and recorded payment status.
- Website and advertising information, such as pages visited, referral information, advertising click identifiers and interactions with our website forms and measurement tools.
We collect information you provide through our forms, email, phone and other communications with us. Our team also records relevant information while handling your enquiry or request. Website tools collect information about interactions with our site.
You can ask a general question without providing identifying details where that is practical. If you do not provide information needed for a particular request, we may be unable to respond, prepare a suitable quotation, arrange a meeting or provide the requested service.
How we use information
We use relevant personal information to respond to enquiries, discuss machinery and requirements, arrange meetings, prepare and follow up quotations and sales opportunities, manage servicing and parts requests, and maintain related business records.
We use postcode and location information to direct enquiries to the appropriate Anderson Australia team or sales territory. We also use website and advertising information to understand enquiry sources and improve our website and advertising.
We may contact you about our products and services consistently with applicable requirements and your communication preferences. You can use the unsubscribe option in marketing emails or contact us to change those preferences. We may still need to communicate with you about an active enquiry, order or service request.
Who handles your information
Our business enquiries are handled by Anderson Australia. We do not pass those enquiries to machinery manufacturers, other group companies or independent service contractors to handle them.
We use software providers to operate our website, manage enquiries and support our work. These providers process relevant information to supply their services:
- HubSpot: Website forms, customer records, sales opportunities, service tickets, connected social-media enquiries, social publishing and reporting, and follow-up.
- Mapsly: Postcode and location processing to route enquiries to the appropriate territory or team.
- Simpro: Service and parts job handoffs and related job references.
- Zapier: Automated transfers between our business systems, including the advertising measurement described below.
- Squarespace: Hosting and operating our website.
- Google Analytics, Google Tag Manager and Google Ads: Website and advertising measurement, and management of website measurement tags.
- Meta (Facebook and Instagram): Social publishing and reporting, advertising and lead forms, Facebook Messenger enquiries, and website measurement through Meta Pixel. See Meta's Privacy Policy and Cookies Policy.
- LinkedIn: Social publishing and reporting for our connected LinkedIn accounts. See LinkedIn's Privacy Policy and Cookie Policy.
These software providers process relevant information to deliver their services. Social and advertising platforms also process information under their own terms and privacy policies. Anderson Australia remains responsible for responding to your business enquiry.
We may also disclose information where required or authorised by law.
Social-media enquiries and interactions
Details you submit through our connected Meta lead forms can be transferred to HubSpot to help us respond to and manage your enquiry. These may include your name, contact and business details, answers to form questions, and information identifying the form, advertisement and submission.
When you contact our Anderson Facebook Page through Messenger, your messages, available profile information and conversation details may be processed in HubSpot so our team can review and respond. We also use HubSpot to manage connected Facebook, Instagram and LinkedIn posts and review related engagement, which may include public profile information, comments and reactions.
We use enquiry information to handle your request. Submitting an enquiry or sending us a message does not by itself subscribe you to unrelated marketing communications. You can contact us about your communication preferences using the details in this policy.
Qualified-enquiry advertising measurement
We use selected enquiry information to measure which advertising contributes to genuine commercial enquiries for machinery, servicing and parts. This process transfers information from HubSpot through Zapier to Google Ads after an Anderson Australia salesperson qualifies an enquiry.
The upload includes the email address associated with the enquiry, an internal enquiry identifier, and the date and type of the qualification event. We share this information with these providers to perform advertising measurement on our behalf.
Zapier receives and processes the email address from HubSpot. For Google's enhanced conversion matching, Zapier formats it and converts it into a hashed identifier before sending the identifier to Google. Google uses matching information and advertising interactions to report conversions. Hashing does not make the information anonymous.
We will respect applicable consent requirements and recorded customer choices when using this process. You can contact us at info@andersonaustralia.com with questions or concerns about this use of your information. Read how Google uses enhanced conversion data and how Google processes personal information.
Meta qualified-enquiry measurement. Our qualified-enquiry measurement connection to Meta (Facebook and Instagram) is enabled. It sends selected information from HubSpot through Zapier for eligible enquiries after an Anderson Australia salesperson confirms a genuine commercial enquiry for machinery, servicing or parts. The purpose is to measure which advertising contributes to qualified enquiries.
For each eligible event, the transfer includes an email identifier, the date and time of qualification, and confirmation that the enquiry has reached our Qualified stage. HubSpot and Zapier process the selected enquiry details to provide this service. Zapier receives the email address from HubSpot and converts it to a hashed identifier using SHA-256 before sending it to Meta for matching. Hashing does not make the information anonymous.
Meta processes the information under Meta's Privacy Policy. We respect applicable consent requirements and recorded customer choices. Contact info@andersonaustralia.com with questions or concerns about this use of your information.
Website enquiry measurement. When you submit our Contact Us / Enquiry form, we use HubSpot to send selected information to Meta (Facebook and Instagram) to measure advertising results. This includes an email identifier, confirmation that the form was submitted, and related page and browser information. This enquiry measurement happens separately from the salesperson-qualified measurement described above. We respect applicable consent requirements and recorded customer choices. You can contact info@andersonaustralia.com with questions or concerns about this use of your information.
Cookies and website measurement
Our website includes HubSpot forms and tracking, Google measurement tags, Meta Pixel and Squarespace functionality. These tools may use cookies and similar technologies to operate features and measure website and advertising activity.
Meta Pixel helps us measure website visits and advertising performance. Information may include pages visited, visit times, browser and device information, IP addresses, and cookie or advertising identifiers. Meta may associate this information with other information it holds, as described in its privacy and cookies policies. You can also review the privacy and advertising controls available in your Meta account.
You can use your browser settings to restrict or remove cookies. Doing so may affect some website features. Browser cookie controls do not, by themselves, remove information you have already submitted through an enquiry form. Please contact us if you have a question about that information.
Overseas processing
Our software providers may store, process or access information outside Australia. Their published arrangements include storage and processing in the United States, including standard services provided by Zapier, Mapsly and Squarespace.
Providers' wider service and support networks may also involve Canada, New Zealand, the United Kingdom, Ireland, Germany, France, Spain, the Netherlands, Belgium, Sweden, Singapore, Japan, India and Colombia. The locations involved depend on the provider, service and support required. These are provider processing arrangements; Anderson Australia remains responsible for handling your business enquiry.
Provider arrangements can change. Further information is available from HubSpot, Zapier, Google, Squarespace, Mapsly and Simpro. You can also contact us about overseas handling of your information.
Storage, security and retention
We hold information in the business systems described above and in relevant business communications and records. We will take reasonable steps to protect personal information against misuse, interference, loss and unauthorised access, modification or disclosure.
We retain information for as long as reasonably needed for the purposes described in this policy and applicable legal recordkeeping obligations. Retention periods depend on the type of record and why it is held. When information is no longer needed and does not have to be retained, we will take reasonable steps to destroy it or de-identify it.
Access and correction
You can contact us to request access to personal information we hold about you, or to ask us to correct information that is inaccurate, incomplete or out of date. Please provide enough detail for us to identify the relevant records. We may need to verify your identity or your authority to act for another person.
We will consider your request and respond within a reasonable period. If we cannot provide access or make a requested correction, we will explain the reason, where appropriate, and how you can raise a complaint. You can also contact us to discuss your communication preferences or request a copy of this policy.
Privacy complaints
Please contact info@andersonaustralia.com or use the contact details above to explain your concern and the outcome you are seeking. We will acknowledge your complaint, investigate it and explain our response. We aim to respond within 30 days and will let you know if we need more time.
If you are not satisfied with our response, or have not received a response within 30 days, you can contact the Office of the Australian Information Commissioner (OAIC). The OAIC explains which organisations and complaints it can investigate. Visit OAIC privacy complaints or call 1300 363 992.

We may update this policy as our information-handling practices change. The current version will be available on our website with its last-updated date. You can also contact us for a copy.
